Are digital signatures legally valid?
Yes, in the United States. The ESIGN Act (2000) and UETA give electronic signatures the same legal standing as handwritten signatures for most business contracts. Similar laws apply in the EU (eIDAS) and most other jurisdictions.
Exceptions: some legal documents require wet (physical) signatures, including wills, adoption papers, certain real estate transactions, and court orders. For standard business contracts, NDAs, service agreements, and proposals, digital signatures are fully enforceable.
The tool options
DocuSign: The market leader. Used by most large businesses and well-recognized by counterparties. $15–45/month depending on plan. Full audit trail, templates, automated reminder emails, and integrations with most CRM and business platforms. The right choice if your counterparties expect DocuSign or if you need enterprise integrations.
HelloSign (now Dropbox Sign): $15–25/month. Simpler interface than DocuSign, Dropbox integration, good for smaller volumes. API available for developers.
Adobe Acrobat Sign: Included in Adobe Acrobat subscription ($20–30/month). Good if your team already uses Acrobat for PDF work.
PandaDoc: $19–49/month. Combines document creation, e-signature, and proposal features in one tool. Worth considering if you send proposals and contracts — the proposal templates and analytics (see when the recipient opened and how long they spent on each section) are genuinely useful.
For very occasional use (1–5 signatures/month): Many tools offer a free tier for low volume. DocuSign’s free tier allows 3 envelopes/month; HelloSign’s free plan allows 3 documents/month. Sufficient for very small volume.
Setup and configuration
Template setup: Create templates for your most common documents — standard service agreement, NDA, proposal signature page. Templates save 10–15 minutes per document and ensure consistency.
Automatic reminders: Configure automatic reminder emails (typically at 3 days and 7 days after sending) so documents don’t get lost in recipient inboxes.
Completed document storage: Ensure completed, signed documents are automatically archived somewhere organized — a Google Drive or SharePoint folder per client or per document type. Signed documents stored only in the e-signature platform are at risk if your subscription lapses.
